Board of Directors
The Sheldon Little League Board of Directors is an elected group of volunteers who hold fiduciary responsibility and commit to governing and managing the activities of the league. The league is an official affiliate of Little League International, Inc. and operates as a nonprofit under the State of Oregon (ORS 65.357). Board Positions
President. The President shall:
- Conduct the affairs of the Local League and execute the policies established by the Board of Directors.
- Present a report of the condition of the Local League at the Annual Meeting.
- Communicate to the Board of Directors such matters as deemed appropriate and make such suggestions as may tend to promote the welfare of the Local League.
- Be responsible for the conduct of the Local League in strict conformity to the policies, principles, Rules and Regulations of Little League Baseball, Incorporated, as agreed to under the conditions of charter issued to the Local League by that organization.
- Designate in writing other officers, if necessary, to have power to make and execute for/and in the name of the Local League such contracts and leases they may receive, and which have had prior approval of the Board.
- Investigate complaints, irregularities and conditions detrimental to the Local League and report thereon to the Board or Executive Committee as circumstances warrant.
- Ensure league compliance with the Little League Child Protection Policy.
- Prepare and submit an annual budget to the Board of Directors and be responsible for the proper execution thereof.
- With the assistance of the Secretary, examine the application and support proof-of age documents of every player candidate and certify to residence and age eligibility before the player may be accepted for tryouts and selection.
- Review, secure, and maintain necessary and appropriate insurance liability coverage for the league and it’s Board of Directors.
- Orient the Board of Directors to their individual and collective responsibilities as volunteers and representatives, abiding by all local, state, and federal laws and ordinances governing non-profit volunteer boards, including but no limited to conflicts of interest.
- Serve as the contact person for Little League International and represent the league at district meetings and in district correspondence.
- Chair the Board Executive Committee.
- Serve on the league Finance Committee.
Vice President for Baseball. The Vice President shall:
- Perform the duties of the President in the absence or disability of the President, provided he or she is authorized by the President or Board so to act. When so acting, the Vice President shall have all the powers of that office.
- Perform such duties as from time to time may be assigned by the Board of Directors or by the President.
- In collaboration with the other Vice Presidents, lead the day-to-day operations of the upper baseball divisions of the league (Majors, 50/70, Juniors) by overseeing and supporting the efforts of the Coaching Coordinator, Volunteer Coordinator, Safety Officer, Equipment Manager, and Grounds Manager.
- In collaboration with fellow Vice Presidents, the Coaching Coordinator, and the Communications Coordinator, draft and disseminate the schedule of practices and games for the upper baseball divisions of the league.
- Arrange, schedule, and manage all umpires for the upper division baseball games.
- Support the league Secretary through the player registration and team formation process.
- Serve on the Board Executive Committee.
Vice President for Softball. The Vice President shall:
- Perform the duties of the President in the absence or disability of the President and the Vice President for Baseball, provided he or she is authorized by the President or Board so to act. When so acting, the Vice President shall have all the powers of that office.
- Perform such duties as from time to time may be assigned by the Board of Directors or by the President.
- In collaboration with the other Vice Presidents, lead the day-to-day operations of the upper softball divisions of the league (Majors, 50/70, Juniors) by overseeing and supporting the efforts of the Coaching Coordinator, Volunteer Coordinator, Safety Officer, Equipment Manager, and Grounds Manager.
- In collaboration with fellow Vice Presidents, the Coaching Coordinator, and the Communications Coordinator, draft and disseminate the schedule of practices and games for the upper softball divisions of the league.
- Arrange, schedule, and manage all umpires for the upper division softball games.
- Support the league Secretary through the player registration and team formation process.
- Serve on the Board Executive Committee.
Vice President for the Minors Divisions. The Vice President shall:
- Perform the duties of the President in the absence or disability of the President, the Vice President for Baseball, and the Vice President for Softball provided he or she is authorized by the President or Board so to act. When so acting, the Vice President shall have all the powers of that office.
- Perform such duties as from time to time may be assigned by the Board of Directors or by the President.
- In collaboration with the other Vice Presidents, lead the day-to-day operations of the lower divisions in the league (Tee ball, Coach Pitch, AAA) by overseeing and supporting the efforts of the Coaching Coordinator, Volunteer Coordinator, Safety Officer, Equipment Manager, and Grounds Manager.
- Support the league Secretary through the player registration and team formation process.
- In collaboration with fellow Vice Presidents, the Coaching Coordinator, and the Communications Coordinator, draft and disseminate the schedule of practices and games for the lower divisions of the league.
- Chair the Minor League Committee.
- Serve on the Board Executive Committee.
Secretary. The Secretary shall:
- Be responsible for recording the activities of the Local League and maintain appropriate files, contact lists and necessary records.
- Perform such duties as are herein specifically set forth, in addition to such other duties as are customarily incident to the office of Secretary or as may be assigned by the Board of Directors.
- Maintain a list of all Regular, Sustaining and Honorary Members, Directors and committee members and give notice of all meetings of the Local League, the Board of Directors and Committees.
- Keep the minutes of the meetings of the Members, the Board of Directors and the Executive Committee, and cause them to be recorded in a book or virtual cloud kept for that purpose.
- Conduct all correspondence not otherwise specifically delegated in connection with said meeting and shall be responsible for carrying out all orders, votes and resolutions not otherwise committed.
- Notify Members, Directors, Officers and committee members of their election or appointment.
- Oversee and support the efforts of the Communications Coordinator and Social Coordinator.
- Manage all correspondence of the league email.
- Setup and manage the player registration process in collaboration with the Coaching Coordinator, Communications Coordinator, and VPs for Baseball, Softball, and Minors Division.
- Assist the President in verifying residence and age eligibility for all players.
- Record all player transactions and maintain an accurate and up-to-date record thereof, working with the Treasurer should fees, discounts, or refunds be necessary.
- Serve on the Board Executive Committee.
Treasurer. The Treasurer shall:
- Perform such duties as are herein set forth and such other duties as are customarily incident to the Office of Treasurer or may be assigned by the Board of Directors.
- Receive all moneys and securities, and deposit same in a depository approved by the Board of Directors.
- Keep records for the receipt and disbursement of all moneys and securities of the Local League, including the Auxiliary, approve all payments from allotted funds and draw checks therefore in agreement with policies established in advance of such actions by the Board of Directors. All disbursements by check must have dual signatures.
- Prepare an annual budget, under the direction of the President, for submission to the Board of Directors at the Annual Meeting.
- Prepare an annual financial report, under the direction of the President, for submission to the Membership and Board of Directors at the Annual Meeting, and to Little League International.
- Issue refunds, discounts, and credits as necessary and appropriate.
- Oversee and support the efforts of the Fundraising Coordinator, providing necessary and appropriate approval of sponsorship and fundraising agreements.
- Chair the league Finance Committee.
Serve on the Board Executive Committee.
Safety Officer. The Safety Officer shall:
- Be responsible to create awareness, through education and information, of the opportunities to provide a safer environment for children and all participants of Little League.
- Develop and implement a plan for increasing safety of activities, equipment and facilities through education, compliance and reporting.
- NOTE: In order to implement a safety plan using education, compliance and reporting, the following suggestions may be utilized by the Safety Officer:
- Education - Should facilitate meetings and distribute information among participants including players, managers, coaches, umpires, league officials, parents, guardians and other volunteers.
- Compliance - Should promote safety compliance leadership by increasing awareness of the safety opportunities that arise from these responsibilities.
- Reporting - Define a process to assure that incidents are recorded, information is sent to league/district and national offices, and follow-up information on medical and other data is forwarded as available.
- Work with the Equipment Manager to ensure safety and first aid supplies are readily available to coaches and volunteers during practice and games.
- Monitor and interpret to the Board of Directors any relevant public health guidance and mandates from local, county, state, or federal agencies.
- Track the compliance of required health and safety trainings necessary for coaches.
- Serve on the league Grounds Committee and Minor League Committee.
Coaching Coordinator. The coaching coordinator shall:
- Represent coaches in league;
- Present a coach training budget for approval to the Treasurer and Finance Committee;
- Implement league-wide training program;
- Order and distribute training materials to players, coaches and managers;
- Coordinate mini-clinics as necessary;
- Conduct the tryouts, the player draft and all other player transaction or selection meetings.
- Support the league Secretary as appropriate through the player registration and team formation process.
- Serve on the Minor League Committee.
Communications Coordinator. The Communications Coordinator shall:
- Set up and manage the league’s official website (site authorized by Little League International);
- Set up online registration and ensure the league rosters are uploaded to Little League;
- Assign online administrative rights to other local volunteers as necessary and appropriate;
- Encourage creation of team web sites to managers, coaches, and parents;
- Ensure that league news and scores are updated online on a regular basis;
- Collect, post, and distribute important information on league activities including direct dissemination of fundraising and sponsor activities to Little League Baseball, Incorporated, the district, the public, league members, and the media;
- In collaboration with the Coaching Coordinator and VPs for Baseball, Softball, and the Minors Division, post and accurately maintain the schedules for practices and games.
- Oversee and support the effort of the Uniform Manager.
- Serve on the Minor League Committee and the Social Committee.
Fundraising Coordinator. The Fundraising Coordinator shall:
- Solicit and secure local sponsorships to support league operations
- Collect and review sponsorship and fundraising opportunities
- Organize and implement approved league fundraising activities
- Coordinate participation in fundraising activities, and when appropriate, collaborate with the Social Coordinator on events that include a fundraising component.
- Maintain records of monies secured through sponsorship and fundraising initiatives.
- Serve on the league Finance Committee and Grounds and Equipment Committee.
Equipment Manager. The Equipment Manager shall:
- Ensure the safety, security, and proper function of all league-owned equipment, both shared and distributed to teams.
- Maintain an accurate inventory of all league-owned equipment, including a schedule of replacement and share with the Finance Committee.
- Create and maintain a administrative system for tracking all league-owned equipment distributed to teams.
- Collaborate with the Treasurer on the necessary and appropriate purchase of new and replacement equipment.
- Ensure the proper and regular supply of shared equipment is stocked at each field.
- Train all coaches, assistant coaches, and team managers on the proper use of shared equipment.
- Co-chair the league Grounds and Equipment Committee alongside the Grounds Manager.
- Serve on the league Finance Committee.
Grounds Manager. The Grounds Manager shall:
- Ensure the safety, security, and proper function of all fields and facilities managed by the league.
- Liaise with external administrators and managers of fields and facilities to ensure necessary access to and use of fields and facilities prior to and throughout the season.
- Draft and maintain a schedule for year-round maintenance of all fields and facilities.
- Make recommendations to the Finance Committee for approval of any and all necessary grounds renovations to exceed $1,000.
- In collaboration with the Equipment Manager, ensure all fields are supplied with necessary field maintenance equipment.
- Co-chair the league Grounds and Equipment Committee alongside the Equipment Manager and delegate tasks as necessary and appropriate to volunteers.
Volunteer Coordinator. The Volunteer Coordinator shall:
- Recruit and train volunteers to serve as head coaches, assistant coaches, team managers, league committee members, and other volunteer roles deemed necessary.
- Communicate to and train all volunteers on the mission and values of Little League and the responsibilities and limitations of their roles.
- Maintain, in collaboration with the Secretary, an accurate and comprehensive roster of all league volunteers.
- Ensure the compliance and timely completion of background checks for all volunteers in accordance with the Little League Child Protection Policy and report directly to the President in the event of irregularity.
- Oversee and manage all mentor program partnerships with local high school and university teams and players.
- Serve on the Grounds and Equipment Committee and the Minor League Committee.
Social Coordinator. The Social Coordinator shall:
- Support the league by creating opportunities for social connection and civic engagement among participants.
- Plan and execute league social events, including but not limited to the season kickoff, end-of-season, and offseason events.
- Support Team Managers and team volunteers with suggestions to grow team engagement.
- In collaboration with the Fundraising Coordinator, coordinate events that include a fundraising component.
- In collaboration with Team Managers, arrange opportunities for team photos by a photographer, ensuring all necessary permissions.
- Make recommendations to the Finance Committee for approval of any and all necessary expenditures to exceed $500.
- Chair the league Social Committee and delegate tasks as necessary and appropriate to volunteers.
In-Season Volunteer Opportunities (not Board members)
Head Coach. The Head Coach shall:
- Ensure the safety, wellbeing, and development of the players on the team.
- Promote teamwork, sportsmanship, and physical activity of the players on the team.
- Design practices, drills, plays, and strategies at a developmentally appropriate level for the players on the team.
- Lead the team during practices and games.
- Head Coaches do not serve on the league Board of Directors.
Assistant Coach. The Assistant Coach shall:
- Ensure the safety, wellbeing, and development of the players on the team.
- Perform the duties of the Head Coach in the absence or disability of the Head Coach.
- Promote teamwork, sportsmanship, and physical activity of the players on the team.
- Support the Head Coach through the design of practices, drills, plays, and strategies at a developmentally appropriate level for the players on the team.
- Support the Head Coach and the team during practices and games.
- Assistant Coaches do not serve on the league Board of Directors.
Team Manager. The Team Manager shall:
- Serve as the liaison to the Board of Directors on behalf of the team, communicating information to and from the team.
- Maintain the record of the team roster, family contact information, practice schedule, and game schedule.
- Communicate with family members of the team as necessary.
- Perform administrative duties for the team as necessary, so that Head Coaches and Assistant Coaches may focus on players, practices, and games.
- Team Managers do not serve on the league Board of Directors.
Uniform Manager. The Uniform Manager shall:
- Work with the uniform vendor to order and distribute team uniforms.
- Collaborate with the league Secretary to ensure accurate roster information for uniform orders.
- Communicate with Team Managers on orders, re-orders, cancellations, and other requests by participants.
