REGISTRATION AND CANCELLATION
POLICIES AND PROCEDURES

(1) What are the registration fees and how are they determined?
The Board of Directors of Elburn Baseball & Softball (“EBS”) sets registration fees for its participants
each year. These fees are based on actual costs such as uniforms, umpires, field rental and
maintenance, insurance, equipment and other expenses relevant to the operation and administration
of EBS programs.
EBS may offer reduced fees to families based on when they register (early bird discounts) or how
many children they have participating in EBS (sibling discounts). In any event, all fees must be paid
before a player will be assigned to a team. Families who cannot afford the fees may apply for
assistance under the EBS Financial Assistance Policy.

(2) When is registration?
Registration is open from December 6 to the following February 6. Because many of the league’s
administrative functions (team selection, uniform ordering, etc.) depend on having final registration
numbers, LATE REGISTRATIONS ARE NOT ACCEPTED. Exceptions may be made for families
who: (a) move into the area after the close of registration and (b) contact EBS before uniforms are
ordered. Such requests may be declined if sufficient roster space is not available and, in all cases, are
subject to Board approval.

(3) What if my child’s registration needs to be cancelled?
All refund or cancellation requests should be directed to the EBS Treasurer and are subject to Board
approval. Families requesting refunds before the close of registration will ordinarily receive their full
payment back, less any applicable processing or transaction charges. Families requesting refunds
after the close of registration will be subject to processing charges plus a cancellation fee according to
the following schedule:

NO REFUNDS ARE GIVEN AFTER THE START OF THE SEASON. Exceptions may be made for
players who cannot complete a season due to a documented medical issue or injury. Such requests
will be evaluated by the Board in view of all pertinent circumstances.

In rare cases, a team may not have enough players at the close of registration. If such a situation
arises, affected families will be given a choice between having their child(ren) evaluated to play at the
next age level and receiving a refund. If a child is determined to be not qualified to play at the next
age level, a refund will be given. Evaluations are conducted by EBS coaches according to league
criteria and are final.
